C4AIK Privacy Policy — Draft

Effective from: August 1st 2026

Key points

C4AIK collects information you provide through forms, training registrations, memberships, groups, payments, job applications, and communications. We use it to provide services, manage activities, communicate with you, improve the website, and protect our organization. We use Wix and other service providers to operate the website and process information. You can contact us about your privacy rights at correspondence@c4aik.org.

1. Who we are

This policy applies to Centre For AID Information And Knowledge (C4AIK), a Nigerian non-profit organization based in Abuja. It explains how we collect, use, share, store, and protect personal information through our website and related services.

In short: This policy explains how C4AIK handles information connected with our website, training, jobs, blog, groups, and other activities.

2. Information we collect

We may collect your name, email address, telephone number, organization, professional information, job application or CV information, training-registration details, payment-related information, messages, group information, and information you submit through forms.

When you use the website, we may also collect technical information such as your IP address, browser, device, cookies, pages visited, and general usage information.

If you create an account, join a group, register for training, subscribe to updates, or contact us, we receive the information you choose to provide.

Please avoid submitting sensitive information unless it is necessary and specifically requested.

In short: We collect information you provide and limited technical information needed to operate and improve the website.

3. Why we use information

We use personal information to:

  1. Respond to enquiries and requests.

  2. Provide training, coaching, mentoring, events, and related services.

  3. Manage registrations, memberships, groups, payments, and invoices.

  4. Review job applications and communicate about opportunities.

  5. Send newsletters, job alerts, training information, and other messages where permitted.

  6. Maintain records and meet legal, accounting, and organizational obligations.

  7. Protect the website, users, staff, and organizational property.

  8. Understand how visitors use the website and improve its content.

  9. Provide support through communication tools, including AI-supported tools where used.

  10. Detect misuse, fraud, security threats, or unauthorized activity.

Where consent is required, we rely on your consent. For services you request, we use information to provide those services. We may also use information where necessary for our legitimate interests, such as maintaining secure systems, managing programs, and communicating with participants.

We do not knowingly target children under 16. If you believe a child has provided information improperly, contact us.

We do not use personal information to make decisions with legal or similarly significant effects without appropriate human involvement.

In short: We use information to deliver services, manage programs, communicate, improve the site, and keep our operations secure.

4. How we share information

  • We may share personal information with service providers that help us operate our website and deliver our services. These include Wix and its related services, such as forms, bookings, memberships, groups, invoices, pricing plans, online programs, and website hosting.

  • Where Paystack is used to process payments, Paystack may process payment and transaction information. C4AIK does not intentionally store customers’ full card details.

  • We may also use Usercentrics to manage cookie consent. Other providers may process information only where they are enabled for analytics, advertising, email communication, AI support, or other services described on this website.

We share only information reasonably needed for the relevant purpose. We do not sell personal information for money. However, analytics or advertising tools may involve the use of cookies or browsing information by those providers. Their own privacy policies may also apply.

The website operates on Wix. Information may be handled through Wix’s infrastructure and the providers Wix uses to operate its services. More information is available in Wix’s maintained sub-processor list: https://support.wix.com/en/article/list-of-wixs-sub-processors

In short: We share information with providers that help run C4AIK’s website and programs, and with authorities when required.

5. Storage and international transfers

C4AIK is based in Nigeria, but some service providers may store or process information in other countries. When this happens, those providers’ privacy and data-protection arrangements may apply.

We take reasonable steps to use reputable providers and to limit access to information to people and services that need it.

In short: Your information may be processed outside Nigeria because some online service providers operate internationally.

6. Cookies and similar technologies

The website uses essential cookies for security, sessions, stability, and performance. We may also use analytics and advertising cookies to understand website usage and support communications or advertising.

Where required, non-essential cookies should be controlled through the website’s cookie-consent settings. You can also manage cookies through your browser settings.

If Google Analytics is active on the website, you may use Google’s opt-out tool:
https://tools.google.com/dlpage/gaoptout

In short: Some cookies are needed for the site to work. Other cookies may help us understand usage or support advertising and should be managed through the available consent controls.

7. Communications

You may receive service-related messages about registrations, training, payments, accounts, or enquiries.

You may unsubscribe from promotional emails by using the unsubscribe link in the message or contacting us. Unsubscribing from marketing does not necessarily stop essential service communications.

In short: You can opt out of promotional messages, but we may still contact you about services you request.

8. How long we keep information

We propose the following retention rules:

  1. Contact enquiries: up to two years after the last communication.

  2. Job applications and CVs: up to one year after the recruitment process ends, unless you agree to longer retention.

  3. Training registrations and participant information: as long as needed to administer the training and related records.

  4. Payment, invoice, and accounting records: for as long as tax, accounting, or legal obligations require.

  5. Member and group information: while your account remains active, and generally no longer than 12 months after closure unless a longer period is justified.

  6. Marketing information: until you unsubscribe or it is no longer needed.

  7. AI-supported conversations: only as long as reasonably needed for support, security, service improvement, or record keeping, after which they should be deleted or anonymised.

We may retain information longer where necessary to resolve disputes, enforce agreements, protect rights, or comply with legal obligations.

In short: We do not keep every type of information for the same period. We retain it only for a defined business, legal, or operational purpose.

9. Your privacy rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, or a copy of your information. You may also object to certain uses or withdraw consent where we rely on consent.

To make a request, email correspondence@c4aik.org. Please provide enough information for us to understand and verify your request. We will not use your request to discriminate against you.

You may also complain to the relevant data-protection authority in your country.

In short: Contact us if you want to ask what information we hold, correct it, delete it, or change your preferences.

10. Security

We use reasonable administrative and technical measures to protect personal information. The website is built and hosted on Wix, which secures its underlying platform. C4AIK is responsible for managing access to its own accounts, users, and installed services.

No online system can guarantee absolute security. Please use care when submitting information online and avoid sending information that is not necessary.

In short: We take security seriously, but no online service is completely risk-free.

11. Links to other websites

Our website may link to external websites, job platforms, partner organizations, social-media services, or other resources. Their privacy practices are controlled by their own policies.

In short: Check the privacy policy of any external website you visit through our links.

12. Public content and groups

If you post content in a blog comment, group, forum, profile, or other public area, that content may be visible to other users or the public. Others may copy or share it.

Do not post information that you do not want others to see. Contact us if you believe public content should be removed.

In short: Treat anything posted publicly as information that others may be able to view and copy.

13. Children

Our website and services are not knowingly directed at children under 16. We do not knowingly collect information from children for purposes unrelated to our services.

If you believe a child has submitted personal information, contact us so we can review and remove it where appropriate.

14. Changes to this policy

We may update this policy when our services, technology, or legal obligations change. We will publish the updated version on this page and revise the effective date.

Any heading, caption, section title, or “In short” summary is provided for convenience only. The main policy text controls.

In short: Check this page from time to time for updates.
